Position Overview
This is an administrative position responsible for coordinating new client appointments and ensuring a positive client onboarding experience. This role required strong organization skills, attention to detail, an ability to multitask, and confidence and creativity in promoting our services. The ideal candidate is someone who has excellent communication skills, is comfortable navigating administrative tasks, and offers exceptional customer service. This is part time position working M-Th from 1pm-6pm and Fridays from 10am-2pm.
Job Responsibilities
- Receive, respond to, and direct new client communications including phone calls, website inquiries, emails, and other interaction
- Provide quality customer service while connecting clients to needed services
- Maintain client privacy and records in compliance with confidentiality standards (HIPAA)
- Create new patient chart, review accounts, and obtain missing information and compliance-related documents for completeness and accuracy during client onboarding.
- Coordinate with clinicians on filling their caseloads.
- Complete insurance verifications for all new clients, help with payment processing, and refer clients to the billing specialist for insurance-related questions.
- Educate clients on office procedures and what to expect for their first appointment.
- Greet clients and visitors, providing a warm and welcoming atmosphere.
- Provide administrative support for all staff and leadership roles, including calendar management, printing/copying, etc.
Qualifications
- High school diploma or equivalent; associate’s or bachelor’s degree preferred
- Previous experience in an administrative role, preferably in a healthcare setting
- Strong organizational and multitasking skills
- Excellent verbal and written communication
- Proficiency in office software (Microsoft Office, Google Workspace)
- Knowledge of HIPAA regulations and experience with confidential information a plus.

- Previous experience providing trauma-informed therapy with interest in growing clinical skills
- Commitment to continued professional development and open to feedback
- Has a current specialty or is Interested in creating a specialty such as trauma, EMDR, Couples, IFS, work with teens, Family Therapy, etc.
- Preference for clinical experience with trauma, anxiety, and women’s issues
- Autonomous/Independent — enjoys working with little direction
Additional information:
- Please note that due to the longer term work we do with clients in our setting, we do NOT accept practicum students for the 8 week requirement unless they are continuing with their internship at Rooted.
- Practice locations are in Draper, Utah and Lehi, Utah.
- Pay per clinical hour depending on experience and licensure. Staff meetings, no shows, and some administrative time is also paid.

Requirements & Qualifications
- Current State of Utah license as CSW, ACMH, LCSW, CMHC, or LMFT.
- Previous experience providing mental health therapy
- Willing to engage in 20-28 sessions per week
- Exceptional interpersonal skills to work effectively on a team
- Access to Telehealth compliant work area including laptop and private internet access
- Must pass a background check and drug test upon hiring
**Paneled with insurances is a plus. Training in trauma-processing modalities is a must (EMDR, ART, IFS, Somatic Interventions Lifespan Integration, etc.) is REQUIRED. Prior private practice experience is a plus. Bilingual a plus
Job Responsibilities
- Perform intake evaluations/assessments, formulate client diagnoses, and provide individual, couples, family, and group therapy services
- Maintain accurate and timely charting of evaluations, individual, family, or group therapy, treatment plans, and discharge summaries of all clients on caseload
- Develop and maintain satisfactory work habits with respect to timeliness, judgment, cooperation, communication, responsibility and computer literacy
- Establish positive and trusting relationships with clients to foster effective therapeutic process
- Manage crises and safety issues that arise with clients
- Update clinical knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks; participating in professional organizations.
